Collaborative Arts Institute of Chicago seeks a part-time Executive Director to join a dedicated team of artists and educators focused on making Chicago a world home to the study and performance of art song.
The ideal candidate has a passion for the art form, is self-driven and motivated to lead a thriving 501c3 non-profit. This individual will be instrumental in maintaining and enhancing CAIC's visibility and reputation in the arts community, as well as cultivating relationships with key stakeholders—including donors, board members, and partner organizations—and will lead CAIC’s efforts in finding new grant opportunities. The ideal candidate has experience with governance of non-profit organizations (on a federal, state, and operational level), experience in soliciting major gifts and leading fundraising campaigns, and experience in grant research, writing, and reporting.
This part-time role requires a candidate who is detail-oriented, driven to grow an arts organization, and has strong communication skills.

Roles and Responsibilities:
Governance & Compliance
- Complete and file all annual governance paperwork (Federal 990, Illinois Attorney General form, Illinois Secretary of State form, etc.
- Work with the Board of Directors to establish governance priorities, set policies, and ensure organizational effectiveness, and develop and implement strategic fundraising plans for the organization.
- File 1099 forms for artists and contractors
- Create CAIC’s annual budget, in consultation with Artistic and Education directors
- Create financial reports/documents as needed for board meetings and grant applications and final reports
- Make bank deposits (mostly online, sometimes in person) and pay all bills
- Identify grant opportunities and work with Director of Artistic Operations and members of Board of Directors Fundraising committee to submit grants
- Tracking of grant opportunities, noting and submitting based on application deadlines (with assistance from CAIC staff)
- Finalize grant applications (with assistance from other CAIC staff)
- Complete grant fulfillment reports (with assistance from other CAIC staff)
- Oversee fundraising campaigns and work with Board of Directors, Artistic and Education directors and Director of Artistic Operations to develop and implement campaign plans including editing of solicitation letters, strategic planning for fundraising events and more
- Identify donors to target for campaigns and individual gifts
- With Director of Artistic Operations, craft and send fundraising mailings
- Assist with the maintenance of donor records and acknowledgment letters
- Oversee partnership agreements with CAIC venue partners
- Serve as contract signatory for all CAIC venue contracts
- Along with Artistic Director, Director of Artistic Operations, and select Board Members, identify new venues and non-profit partnership opportunities throughout the Chicagoland area
- Attend CAIC concerts and fundraising events, serving as ambassador and host for the organization
- Attend Board meetings and provide Executive Director reports
- Check-in meetings with CAIC staff and Board committees
Qualifications:
- A bachelor's degree in arts administration, nonprofit management, or equivalent experience working with arts organizations
- A minimum of 5 years of experience in a leadership role within an arts or cultural organization
- Demonstrated success in fundraising, grant writing, and donor cultivation
- Strong financial management and budgeting skills
- Excellent public speaking, communication, and interpersonal skills
- Passion for the arts and a commitment to advancing the mission of CAIC
- Knowledge of and connections within the Chicago arts community is vital to this role. As such, we are exploring candidates who live in the Chicagoland metro area
